01Why Zoho Sign

Why US teams choose Zoho Sign over DocuSign

Zoho Sign covers what most US teams need from e-signature software: signers in a set order, reminders, identity checks, templates and a full audit trail, at $10 to $22 per user a month billed yearly. Zoho states that documents signed in Zoho Sign comply with the US ESIGN Act and UETA. And it’s already wired into the Zoho apps where your contracts start. These are the six reasons we hear most.

  1. 01

The price holds up when you send a lot

Zoho Sign Standard is $10 per user a month billed yearly, with 25 envelopes per user each month. Professional, at $16, removes the cap: unlimited envelopes and unlimited templates.

    Unlimited envelopes on Professional
  2. 02

Signers go in the order you set

Signature workflows with reminders are on every plan, even Free. From Standard up you add approvers, manager approval, witness signing and delegation, plus an assistant powered by Zia, Zoho’s AI (now also called SI, super intelligence), and automatic field placement.

  3. 03

    You know who actually signed

On Standard and above, recipients can be asked to verify with a one-time code, a government ID or knowledge-based questions before they sign. Some checks, and SMS or WhatsApp delivery, use Zoho Sign credits.

    Identity checks from Standard
  4. 04

Every envelope keeps its paper trail

The audit trail records each view, signature and reminder, and documents are signed with Zoho-issued digital certificates on every plan. Enterprise adds blockchain-based timestamping and automatic cloud backup.

  5. 05

It sits inside the Zoho apps you already use

Send a contract from a deal in Zoho CRM, an offer letter from Zoho Recruit, or a policy from Zoho People. Quotes in Zoho Books can require a customer signature before they’re accepted.

    Built by the same vendor
  6. 06

Bulk send, SignForms and signing in person

Zoho Sign Enterprise sends one document to hundreds of people, turns a template into a public SignForm link, lets clients sign on your tablet, and can collect a payment through Zoho Checkout as they sign.

02Follow the envelope

One contract, three signers: how Zoho Sign routes it

Here’s a typical sales contract we’d set up in Zoho Sign for a US team. It leaves a deal in Zoho CRM, goes to the client, then their CFO, then back to your side to counter-sign. Nobody emails a PDF around, and the deal always shows where the envelope is.

  1. Mon 9:12 AM

    Sent from the deal

The rep opens the deal in Zoho CRM and picks the services template. Client name, address and the $48,000 fee fill in from deal fields.

    Zoho CRM · Deal

  2. Mon 9:44 AM

Signer 1 checks in and signs

The client’s operations director in Austin enters a one-time code, then signs on her phone. Required fields stop her from skipping the start date.

    Code verified · signed

  3. Wed 8:00 AM

A nudge, then the CFO approves

The CFO is next in line as an approver. Nothing for two days, so Zoho Sign sends the reminder we scheduled. He approves before lunch.

    Reminder · approved

  4. Wed 1:20 PM

    Your VP counter-signs

Only now does it reach your VP of Sales, who signs in the Zoho Sign mobile app between meetings. Every party gets the signed copy.

  5. Wed 1:21 PM

    Filed, and the deal knows

The signed PDF and its audit trail attach to the deal, the status updates in Zoho CRM, and a copy lands in the client’s folder in Zoho WorkDrive.

Draw your signature and place the fields, like in Zoho Sign

Preparing a Zoho Sign envelope comes down to two things: who signs, and where. Draw a signature (or type it), then choose a field and a signer and click a spot on the lease. Each signer needs at least one signature field before you can send.

04Zoho Sign pricing in the US

Zoho Sign pricing: $10 to $22 per user, and a free plan

Zoho Sign is priced per user, per month. Billed yearly in USD, Standard is $10, Professional $16 and Enterprise $22. Paid monthly, it’s $12, $20 and $28. The Free plan covers one user and 5 envelopes a month. SMS delivery, some identity checks and API use draw on credits, which Zoho sells in packs of 500. Tell us how many people send, how many envelopes go out and whether you need SMS or ID checks, and we’ll suggest a plan.

Only people who send need a license. Your clients, candidates and tenants sign for free.

06Zoho Sign vs the alternatives

Zoho Sign vs DocuSign, Adobe, Dropbox Sign and PandaDoc

All five will get a contract signed legally in the US. The differences are price per sender, how many envelopes you get, and where the tool lives. Here’s what each charges per user a month, billed yearly, for the plans small US teams usually buy.

Same five senders, same year: Zoho Sign Professional costs $840 less than DocuSign Standard, and its envelopes are unlimited.

Why we usually recommend Zoho Sign

  1. Volume doesn’t change the bill. Professional has no envelope cap, which matters for HR onboarding season and leasing teams.
  2. Signers never need a license or an account. You pay for the people who send.
  3. It’s already in Zoho. Deals in Zoho CRM, candidates in Zoho Recruit and employees in Zoho People can all send without a connector.
  4. Signer order, reminders and the audit trail come on every plan, Free included.
  5. Enterprise is still $22. Bulk send, SignForms and in-person signing cost less there than on most rivals’ middle tiers.
  6. Already paying for Zoho One? Zoho Sign is part of the bundle.

Where another tool can make sense: if your proposals are built from a big content library with pricing tables, PandaDoc’s editor is hard to beat. If your clients’ legal teams insist on DocuSign, or your company runs on Salesforce, DocuSign may be the easier path. Teams that spend all day editing PDFs may already have Acrobat. If that sounds like your team, we’ll tell you before you move off your current e-signature tool.

Each vendor’s per-user monthly list price in USD on yearly billing, before tax and promotions. E-signature vendors reprice envelope limits and plan tiers often, so we re-check each one against your monthly signing volume before you decide.

10Questions we get a lot

Before you send your first Zoho Sign envelope

Straight answers on Zoho Sign pricing, legality in the US, DocuSign migration and setup. Have a signing workflow we haven’t covered? Walk us through it on a free first call and we’ll map the signer route.

What is Zoho Sign?

Zoho Sign is Zoho’s electronic signature software. You upload or build a document, add signature and other fields, set who signs and in what order, and send it. Signers sign on any device, reminders go out automatically, and every envelope keeps an audit trail. It connects to Zoho CRM, Recruit, People, Books and WorkDrive.

How much does Zoho Sign cost in the USA?

Zoho Sign is priced per user per month. Billed yearly in USD, Standard is $10, Professional $16 and Enterprise $22. Billed monthly, they are $12, $20 and $28. A Free plan covers one user and 5 envelopes a month. Credits for SMS delivery, some identity checks and API use are extra. Setting up Zoho Sign with us is its own fixed price, written into a signed BRD before we rebuild any template.

Are Zoho Sign signatures legally binding in the US?

Zoho states that documents signed with Zoho Sign comply with the US ESIGN Act and UETA, as well as eIDAS in Europe. Each envelope keeps an audit trail of who viewed and signed it and when. A few document types have special rules under state law, so check with your attorney for those.

Zoho Sign vs DocuSign: which should a US business choose?

For most small and mid-size US teams, Zoho Sign costs less for the same senders. Zoho Sign Professional is $16 per user a month billed yearly with unlimited envelopes, while DocuSign Standard lists at about $30 with a yearly envelope allowance. DocuSign can still make sense if your clients insist on it or you run on Salesforce, and we will tell you that on the discovery call.

Do the people signing need a Zoho Sign account or license?

No. Only the people who send documents need a license. Clients, candidates, tenants and employees sign from an email or text link on any device, without creating an account.

Can you migrate our templates from DocuSign or Adobe Acrobat Sign?

Yes. We list your current templates, signer routes and integrations, rebuild each template in Zoho Sign with its fields and roles, test them with your team, and archive your completed envelopes and audit trails so you can still find them.

How long does Zoho Sign setup take?

It depends on how many templates you have, how many apps Zoho Sign connects to, and whether you are migrating. We write the scope into a BRD first, then give you a dated schedule for every template rebuild, signer route and app connection, so you know when your team can send its first live envelope.

Does Zoho Sign integrate with Zoho CRM?

Yes. You can send documents for signature from Zoho CRM records such as deals and contacts, merge record fields into the document, and see the signing status and signed copy back on the record. We set up the templates, merge fields and automation.

Can Zoho Sign send one document to many people at once?

Yes, on the Enterprise plan. Bulk send delivers a separate envelope to each person on a list, which suits policy acknowledgements, lease renewals and annual forms. Enterprise also adds SignForms, which let people sign from a public link, and in-person signing.

How does Zoho Sign check who is signing?

On Standard and above, you can ask recipients to verify with a one-time code, a government ID or knowledge-based questions before they sign. Some of these checks, and SMS or WhatsApp delivery, use Zoho Sign credits.

Is Zoho Sign good for a small business?

Yes. Zoho Sign for small business starts with a Free plan for one user and 5 envelopes a month. Standard is $10 per user a month billed yearly with 25 envelopes per user a month, and Professional removes the envelope limit when you start sending more.

Do you provide Zoho Sign support and training after go-live?

Yes. Our Zoho Sign consultants stay on after go-live for support, new templates and automations, and training for new senders, online or on-site in Southern California.

What are Zoho Sign credits used for?

Credits cover SMS delivery, some identity checks and API use, which aren’t included in the per-user price. Zoho sells credits in packs of 500, so you only buy them if your workflows use those features.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

11How a Zoho Sign project starts

We put your Zoho Sign rollout in writing first

Fitting, for a signing tool. These four steps pin down what you’re getting and what it costs before any setup begins. A handful of templates is often scoped on the first call. Bigger jobs, like moving hundreds of DocuSign templates or wiring Zoho Sign into several apps, may need a paid scoping and BRD phase, and we’ll quote that up front.

We set up Zoho Sign over video for teams across the US, Canada and Latin America, and we can train your senders in person in Southern California.
