01A day in your sales team

What Zoho CRM actually does all day

Forget the feature list. Here’s a normal Tuesday for a US sales team on Zoho CRM. Scroll, and watch the screen change.

  1. 8:00 am

The day starts on one screen

Each rep opens a home dashboard: today’s calls, open deals and anything overdue. Managers see the whole team.

  2. 9:15 am

A new lead arrives and is assigned

Someone fills in your website form. Zoho CRM creates the lead, scores it and assigns it to the right rep by territory, instantly.

  3. 10:30 am

Zia says who to call first

Zia, Zoho’s built-in AI (now also called SI, super intelligence), flags the hottest leads and the best time to reach them.

  4. 1:00 pm

A quote goes out from the deal

The rep builds a quote from your price book inside the deal. Discounts above your limit go for approval automatically.

  5. 3:00 pm

    The contract is signed

Zoho Sign sends the agreement. When it’s signed, the deal moves to Won and finance gets the invoice in Zoho Books.

  6. 5:00 pm

The manager sees the real forecast

No end-of-day spreadsheet. The forecast, win rate and pipeline update on their own.

06Zoho CRM pricing in the US

Zoho CRM pricing: which edition do you need?

There are five Zoho CRM editions. Answer three questions and we’ll recommend one, with Zoho’s US price. Zoho CRM costs from $14 per user per month (Standard, billed yearly) to $52 (Ultimate). For a small business there’s also a free edition for up to 3 users.

1. How many people will use the CRM?
2. What matters most?
3. How would you pay?

08Zoho CRM vs the alternatives

What Zoho CRM costs next to Salesforce, Pipedrive, Dynamics 365 and GoHighLevel

Here’s what US teams pay per user each month, billed yearly, for each CRM. GoHighLevel is the odd one out: it charges per account, so we show it separately. The middle column is the plan most growing sales teams end up on: the one with automation, approvals and forecasting.

CRMCheapest paid planPlan with automation & approvalsTop planWhat else you pay
Zoho CRM$14$23Professional$52UltimateNothing extra. Free edition for up to 3 users
Salesforce Sales Cloud$25$100Pro Suite$550MaxAI usage credits, premium support and API access on lower plans
Microsoft Dynamics 365 Sales$65$105Enterprise$150PremiumHighest entry price of the group
Pipedrive$14$24Growth$69UltimateLead tools, campaigns and documents are paid add-ons
GoHighLevelflat price per account$97Starter, per account$297Unlimited, per account$497Agency ProCalls, texts, email and AI are billed on top by usage. Built mainly for marketing agencies
One year, 20 userson the plan with automation and approvals, license fees only
  • Zoho CRM$5,520
  • Pipedrive$5,760
  • Salesforce$24,000
  • Dynamics 365$25,200

Same team, same year: Zoho CRM costs about $18,500 less than Salesforce.

What about GoHighLevel? It charges per account, not per user, so the license can look cheaper for a big team. But calls, texts and AI are metered on top, and it’s built for agencies running funnels for clients. It’s lighter on what sales teams need every day, like approval steps, territories and forecasting.

Why we think Zoho CRM is the better buy for most US teams

  1. Enterprise features at a small-team price. Zoho CRM Enterprise is $40 per user. Salesforce’s comparable Core edition is $195.
  2. You pay Zoho for licenses and that’s it. There’s no onboarding package you have to buy before your team can log in.
  3. Zia is in the price. It comes with Enterprise and Ultimate, so scoring a thousand leads costs the same as scoring ten.
  4. Your CRM, accounting, help desk and e-signatures can all come from one company. Zoho CRM shares one customer record with Books, Desk, Sign and 45+ other Zoho One apps.
  5. Most changes don’t need a developer. Blueprint, custom modules and Deluge cover a lot of what Salesforce teams pay admins to do.
  6. Zoho’s business is subscriptions. It doesn’t run ads or sell customer data, and it has worked that way since 1996.

Where another CRM can make sense: if your company runs deep on Microsoft 365 and Power BI, Dynamics 365 is worth a look. If you’re a marketing agency selling funnels and texting campaigns to clients, GoHighLevel was made for that. If you’re a very large enterprise with an in-house Salesforce team, staying put may cost less than moving. If that’s you, we’ll say it plainly before you spend anything on a migration.

Per-user monthly list prices in USD on annual billing; GoHighLevel is priced per account, per month. Salesforce and GoHighLevel both reprice their editions and add-ons, so we re-check each quote against your seat count before you commit. Want the long version? We often start with a clean-up and add Blueprint and AI. Once reps are live, we keep supporting Zoho CRM and training new hires, so you’re never stuck with a system nobody can change.

11How a Zoho CRM project starts

Four steps before we build anything

These four steps settle what you’re getting and what it costs, in writing, before any build starts. Smaller projects are often scoped from the first call. Bigger ones, like a Salesforce migration, may need a paid scoping and BRD phase, and we’ll quote that up front.

Pipeline workshops and rep training run over video for sales teams anywhere in the US, Canada and Latin America, and in person across Southern California.

  1. Discovery callYour goals, timeline and the tools your team uses today
  2. Workflow mappingHow your team sells now: stages, handoffs and where deals stall
  3. Scope & budgetThe edition that fits, what to migrate and what to automate, agreed in the open

12Questions we get asked a lot

Zoho CRM questions, answered

Straight answers on CRM editions, Salesforce and HubSpot moves, Blueprint and AI. Stuck on something about your own pipeline? Bring it to the discovery call.

What is Zoho CRM?

Zoho CRM is Zoho’s customer relationship management app. It keeps leads, contacts, accounts, deals, emails, calls and follow-ups in one place, with automation, Blueprint processes, forecasting, reporting and Zia AI built in.

How much does Zoho CRM cost in the USA?

Zoho CRM costs $14 per user per month for Standard, $23 for Professional, $40 for Enterprise and $52 for Ultimate, billed yearly in USD before tax. Monthly billing costs more ($20, $35, $50 and $65), and there is a free edition for up to 3 users. Setting up your pipeline, Blueprint and migration with us is quoted separately, as one fixed price written into a signed BRD.

Can you migrate us from Salesforce or HubSpot to Zoho CRM?

Yes. We run Zoho CRM migration from Salesforce, HubSpot, Pipedrive, Microsoft Dynamics 365 and spreadsheets. We map every field, run a test migration you review, move leads, deals, activities and files, rebuild key workflows and train your team. See the step-by-step plans for Salesforce and HubSpot moves.

What is Zoho CRM Blueprint?

Blueprint is Zoho CRM’s process builder. It defines the steps a deal or lead must go through and what must be done at each step, such as attaching a quote or getting approval, so no one can skip the process.

Which Zoho CRM edition do we need?

Small teams with simple needs can start on the free edition or Standard. Professional adds quotes, products and approval steps. Enterprise adds the Zia AI assistant and deeper customization. Ultimate suits high volumes and advanced analytics. We recommend an edition on your discovery call.

How long does Zoho CRM setup take?

It depends on your users, how many records you’re migrating, how much customization you need and which integrations you want. The signed BRD includes a delivery schedule that dates each pipeline, Blueprint, migration run and integration, so your sales team knows its go-live date before the build begins.

Zoho CRM or Zoho One: which is better?

Choose Zoho CRM if you mainly need sales and pipeline management. Choose Zoho One if you also want accounting, help desk, HR, projects and other apps under one license. Zoho One includes Zoho CRM.

Zoho CRM vs Salesforce: which is better for a US company?

For most small and mid-size US teams, Zoho CRM costs far less. Zoho CRM Enterprise is $40 per user per month billed yearly, while Salesforce’s comparable Core edition is $195. Zoho CRM also includes Blueprint, Zia AI and deep customization. Salesforce can still suit very large companies with their own admin team, and we’ll tell you honestly on your discovery call. Our Zoho CRM vs Salesforce guide has the full breakdown.

Zoho CRM vs GoHighLevel: which should we choose?

GoHighLevel suits marketing agencies that build funnels and texting campaigns for clients. It costs a flat $97 to $497 per month per account, with calls, texts and AI billed by usage. Zoho CRM suits companies with their own sales team that need pipelines, quotes, approval steps, territories and forecasting, from $14 per user per month. We also migrate GoHighLevel contacts, opportunities and workflows into Zoho CRM.

Is Zoho CRM good for a small business?

Yes. Zoho CRM for small business starts with a free edition for up to 3 users, and Standard costs $14 per user per month billed yearly. Small teams get a clean pipeline, automation and mobile apps without enterprise prices, and can move up to Professional or Enterprise later.

Do you provide Zoho CRM support and training after go-live?

Yes. After go-live our Zoho CRM consultants provide ongoing support, admin help, new automations and Zoho CRM training for new reps, online or on-site in Southern California.

Do you work with US companies outside California?

Yes. We’re in Glendale, in the Los Angeles area, and set up Zoho CRM for sales teams across the US, Canada and Latin America. Pipeline mapping, migration reviews and rep training all run well over video, so distance rarely matters.

Can you add AI to Zoho CRM?

Yes. We set up Zia, Zoho’s built-in AI, and build AI agents on Claude, OpenAI or Gemini that connect to Zoho CRM through Zoho MCP. They can qualify leads, draft follow-ups and update deals, with your team approving key steps.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
