Travel agency software and CRM on Zoho, from first enquiry to welcome home

One trip record holds the traveler, every booking, each supplier and the payment plan.

Elite Tech Global is a crew led from Glendale, certified as a Zoho Advanced Partner, building Zoho systems for travel agencies, tour operators, cruise specialists and host agency advisors across the US. Enquiries land in Zoho CRM, quotes turn into itineraries, deposits and final balances get invoiced on a schedule in Zoho Books, and every traveler gets a timely nudge about what comes next on their trip.

01Which one are you?

Which kind of travel business are you running?

A cruise specialist and a day-tour operator both sell travel, yet their week looks nothing alike. Find your nearest match below; each card opens a page on the Zoho setup that suits that kind of US seller of travel.

02Seven boarding passes

Where does a trip live between the enquiry and the trip home?

On a single Zoho trip record that changes hands seven times. Each pass below is one leg of a sample booking, with the Zoho app that carries it and the person on your team who acts on it. Tap any app name for the full picture of what it does.

  1. Seq 01 Enquiry

A honeymoon request arrives at 11:40 pm

The couple fills in the trip form on your site: dates, budget band, “somewhere with beaches and food”. Zoho CRM files it as a lead, assigns the advisor who sells that region, and sends a warm reply with a booking link for a planning call.

  2. Seq 02 Proposal

Two options go out, each with a price

After the call, the advisor builds an Amalfi version and a Greek islands version from saved supplier rates. Both reach the couple as a branded proposal with a day-by-day plan, and the CRM deal moves to Proposal sent with a follow-up task three days later.

  3. Seq 03 Deposit

Terms signed, deposit taken by card link

The couple picks the Greek option. They sign your booking terms and cancellation policy electronically, then pay the deposit from a secure payment link on the Zoho Books invoice, so no one reads a card number over the phone.

  4. Seq 04 Bookings

Flights, ferries and hotels confirmed by supplier

Each component becomes a line on the trip with its supplier, confirmation number, cost, sell price and expected commission. Option dates and cancellation deadlines get their own reminders, so a hotel hold never lapses quietly over a weekend.

  5. Seq 05 Final payment

    Balance collected, documents released

Zoho Books emails the second payment and final balance reminders on the dates in the plan. Once the balance clears, the traveler portal shows vouchers, e-tickets, transfer details and a packing note, and the CRM stage flips to Ready to travel.

  6. Seq 06 On the road

A ferry is cancelled on day four

The couple messages from Santorini. The request opens as a ticket tied to their trip, so whoever is on duty sees the whole itinerary, rebooks the crossing, notes the extra night and logs the supplier credit owed back.

  7. Seq 07 Welcome home

    A thank-you, a review ask and next year’s anniversary

Two days after landing, a welcome-home email asks how it went. Commission from each supplier is tracked until it’s paid, the trip margin lands in your reports, and the first anniversary is already on the advisor’s calendar as a sales opportunity.

Price a trip and see when each payment falls due

Choose a region, the travelers, the nights and what’s in the package. The builder prices it with sample rates and lays out a deposit, second payment and final balance the way Zoho Books would invoice them. Your real supplier rates and payment terms replace these during setup.

      04Recommended stack

Which Zoho apps does a travel agency actually need?

Usually just two to begin with. A two-advisor agency runs well on a CRM plus an accounting app. Traveler portals, a help desk and margin dashboards pay off later, as trips, staff or branches multiply, and that growth is usually when Zoho One turns into the cheaper licence.

      Small agency

      One to five advisors

Home-based advisors, boutique storefronts, new host agency members.

      Most common

      Growing agency or operator

      Six to twenty-five staff

Agencies with an operations desk, tour operators running scheduled departures.

      Multi-location

      Branches, brands or call centers

Agency groups, consortia members with several offices, operators selling through partners.

      05US travel rules

Seller of travel laws, client funds and card data

Software can’t register your agency or hold a bond for you, though it can make the paperwork hard to forget. Several states, California, Florida, Washington and Hawaii among them, have seller of travel laws. We set Zoho up so the records those rules ask for are easy to find; your attorney or compliance advisor decides what the rules require of you.

      What we configure in Zoho

      • Your seller of travel registration numbers printed on invoices, proposals and email footers
      • Client deposits recorded against a separate trust or client funds bank account in Zoho Books
      • Card payments taken through payment links, so full card numbers stay out of CRM notes
      • Signed booking terms, cancellation policies and waivers stored on each trip
      • Refund requests and airline schedule changes logged with dates and outcomes
      • Role-based access, so only accounts staff see payment and passport details

What stays with you and your advisors

      • Registering in each state where the law applies to how you sell
      • Choosing between a trust account and a bond where your state allows either
      • Your PCI obligations with your payment processor and merchant bank
      • Federal DOT refund rules for the airline tickets you issue
      • Privacy duties for traveler data, such as CCPA for California residents if it applies to you
      • Final wording of your terms, waivers and travel insurance disclosures

We configure access controls, audit trails and the records above; your compliance team or attorney reviews and signs off before go-live.

      06Moving from

Leaving a travel tool, a general CRM or an inbox full of trips?

We have moved agencies off all of these kinds of setups. Client profiles, past trips, open bookings and future payment dates come across first, because those are what your team needs on the Monday after the switch. Choose your current tool below for the typical move list.

      07Licence cost

What does Zoho cost for a travel agency in the US?

On Zoho’s published US rates, a three-seat agency pairing CRM Professional ($23 per seat) with Books Standard ($15 for the whole organization) pays $84 a month on yearly billing. Zoho One All Employee is $37 per employee and covers every app. Slide to your headcount and tick the apps you’d use to see which comes out lower.

      Apps you need

      Only the apps you ticked

        $0a month

        Lower cost

        Zoho One All Employee

          $0a month

          Lower cost

Figures use Zoho’s US list rates in USD, with sales tax left out. Seat-based apps assume every person on the slider gets a login. Books bills per organization, so the tool switches between Standard (3 users), Professional (5) and Premium (10) as headcount grows, then adds extra Books users beyond ten. All Employee pricing for Zoho One means every person on your payroll is licensed. Before your agency buys, we re-price every line against Zoho’s current rate card. See Zoho One pricing for the flexible-user option.

          08Three packages

Zoho setup packages for travel businesses

Pick by how far along the trip you want Zoho to carry the work. Each package is a starting shape; the final list of modules, imports and reminders gets written down and agreed before anyone configures a thing.

          1. Front Desk

For advisors and small agencies leaving spreadsheets or a basic CRM

            • Enquiry forms feeding Zoho CRM with region-based assignment
            • Trip, traveler and supplier records with your stages
            • Zoho Books invoices with deposit and balance reminders
            • Client list and past trips imported

Fee fixed up front in a signed BRD, agreed before a single client record moves.

          2. Where most agencies land

            Trip Engine

For agencies and custom trip designers selling multi-part itineraries

            • Everything in Front Desk
            • Zoho Creator itinerary builder from saved supplier rates
            • Payment plans by supplier terms, plus commission tracking
            • Traveler portal for documents, signed terms and balances

Priced once, in a signed BRD naming each itinerary template and portal screen we deliver.

          3. Operator Suite

For tour operators, cruise groups and multi-branch agencies

            • Everything in Trip Engine
            • Departures with capacity, rooming lists and guide schedules
            • Zoho Desk for on-trip help and after-hours cover
            • Booking engine or payment feeds through Zoho Flow and APIs

Its fee goes into a signed BRD up front, and every branch and integration gets a dated go-live there.

That opening call with our founders is on us. Agencies with several brands or a homegrown booking engine may call for a short paid scoping exercise; you see its price in writing beforehand.

          09Four steps to start

How a travel agency gets started with us

We like to start between your busy seasons. Open bookings keep running in the old tool while Zoho is built, and new enquiries switch over on an agreed date.

          1. CallTrip types, team size, suppliers, plus whatever software runs the agency now.
          2. ScopeStages, payment rules, imports and integrations written into a BRD.

          10Questions from travel sellers

Zoho for travel agencies: your questions

Itineraries, payment plans, GDS links, state rules and switching tools. Got a supplier or booking engine we haven’t mentioned? Ask about it on the call.

What is the best CRM for a small travel agency in the US?

For most US agencies with one to twenty-five advisors, Zoho CRM is a strong fit because trips, travelers, suppliers and commissions can each get their own module, and it connects to Zoho Books for deposits and balances. Solo advisors who only need a simple pipeline can start on Bigin by Zoho and move up later. Travel-only tools like Travefy or TravelJoy suit advisors who mainly want itinerary design, and we tell you honestly if one of those fits you better.

How much does Zoho cost for a travel agency?

At Zoho’s US list prices billed yearly, Zoho CRM Professional is $23 per user a month and Zoho Books Standard is $15 per organization a month, so a three-advisor agency pays about $84 a month for those two. Zoho One All Employee is $37 per employee a month and includes every Zoho app. What we charge to set it up sits apart from those licences and is fixed in the BRD you sign.

Can Zoho build travel itineraries and proposals?

Yes. We build an itinerary builder on Zoho Creator that pulls from your saved supplier rates and produces a branded day-by-day proposal, linked to the trip in Zoho CRM. When the traveler accepts, the same lines become the Zoho Books invoice, so prices are never retyped.

Can Zoho Books handle deposits, second payments and final balances?

Yes. We take the deposit as a retainer invoice in Zoho Books, then raise the later payments with due dates that follow your supplier terms, for example a second payment at 90 days and the balance at 60 days before departure. Zoho Books sends the reminders and records each payment taken through its online payment links.

Does Zoho connect to Sabre, Amadeus or other GDS systems?

Zoho has no built-in GDS connection. Where your GDS, host agency or booking engine offers an API or export, we can bring bookings into Zoho CRM through Zoho Flow or a custom integration, and we scope that work in the BRD. Many agencies keep ticketing in the GDS and use Zoho for clients, trips and payments.

Can we move from Travefy, TravelJoy or ClientBase to Zoho?

Yes. We export client profiles, past trips, open bookings and upcoming payment dates, clean duplicates and import them into Zoho CRM and Zoho Books. Trips already shared with travelers in your old tool usually finish there, while every new enquiry starts in Zoho from the switch date.

Does Zoho help with California seller of travel requirements?

Zoho does not register your agency or manage a bond. We can put your registration number on invoices and proposals, record client deposits against a separate trust bank account in Zoho Books and keep signed terms on each trip. Your attorney or compliance advisor confirms what California, Florida, Washington, Hawaii or any other state requires of you.

Can travelers see their trip, documents and balance online?

Yes. A traveler portal on Zoho Creator can show the itinerary, vouchers, e-tickets, signed terms and the remaining balance with a payment link. Each traveler only sees their own trips, and you control which documents appear before final payment.

Can Zoho run group tours and departures with limited seats?

Yes. We add departures as records with capacity, so each booking reduces the seats left and a waitlist opens when the trip fills. Rooming lists, guide assignments and supplier headcounts come from the same records, which suits tour operators and cruise group specialists.

How do we track supplier commissions in Zoho?

Each booking line on a trip carries the supplier, the sell price and the expected commission. When the commission arrives, accounts marks it received in Zoho Books, and an overdue report shows suppliers who have not paid after travel. Advisor splits can be calculated from the same lines.

Can Zoho manage business travel for our own employees?

Yes. Zoho Expense handles trip requests, approvals, per diems, card feeds and receipts, and its Premium plan adds travel booking. That suits companies that send staff on the road, and it can sit alongside an agency setup if you also sell corporate travel.

How long does a Zoho setup take for a travel agency?

That turns on the number of trip types you sell, the years of bookings you bring along and any GDS or booking engine links. Every phase gets a calendar date inside the signed BRD, including the day fresh enquiries start landing in Zoho, and we schedule around wave season or your own peak months.
