01Why Zoho Books

Why US small businesses pick Zoho Books over QuickBooks Online

Zoho Books does the US-specific chores for you: it works out sales tax from the customer’s address, tracks and e-files 1099s, pulls in bank feeds and suggests the match, and puts a pay-now link on every invoice. Five users cost $40 a month. Here are the six things that come up most when US owners and controllers ask us why we recommend it.

Sales tax works itself out

On paid plans, Zoho Books’ Sales Tax Automation calculates US sales tax on each transaction from the customer’s address and your state registrations, at no extra cost. Already pay for Avalara AvaTax, or sell into lots of states? We connect your Avalara account instead.

Included on paid plans

1099s come straight from the ledger

Mark a vendor as a 1099 contractor and every payment counts toward their form. From Standard up, you can e-file 1099-NEC and 1099-MISC from Zoho Books.

The bank feed suggests the match

Feeds pull in daily for most US banks. When a line fits an open invoice or bill, Zoho Books tags it “Match found”, and your bank rules sort the repeats.

Invoices people can pay on the spot

Connect Stripe for cards and US ACH, or PayPal with Venmo. Customers pay from the email or their portal, and the customer portal is on every plan, even Free.

Closed months stay closed

Lock a period once it’s reconciled, for everything or module by module, from Standard up. Admins get an audit trail of who changed which transaction and when.

Five people for $40 a month

Zoho Books Professional includes five users plus projects, timesheets, approvals and multi-currency for $40 a month billed yearly. Need a sixth login for your bookkeeper? $2.50 a month. You won’t jump a tier for one person.

QuickBooks Online Plus: $140 a month

It’s also one ledger for the rest of Zoho. Sales from Zoho CRM, stock from Zoho Inventory and reports from Zoho Expense post straight in, and every one of them comes in the Zoho One bundle.

02The close, day by day

Month-end close in Zoho Books: five days, one routine

This is the close routine we set up for most US teams on Zoho Books. Bank feeds come in, rules and suggested matches do the sorting, you reconcile, your CPA reviews, and the month gets locked. Small teams often fold it into fewer days. The order is what matters.

  1. Day 1

Every account is in, nothing is missing

Feeds for checking, savings and cards have been pulling in daily all month. On day one we check every account is connected, refresh the ones your bank makes you re-authorize, and upload a statement file for any bank without a feed.

In Zoho Books: Banking · Bank feeds

  2. Day 2

Rules sort the repeats, you sort the rest

Bank rules recognize the regulars: rent, software, payroll, fees. Lines that fit an open invoice or bill show “Match found”. Zoho’s AI (now also called SI, super intelligence) helps fill in the fields for lines no rule covers, so a person only reads the leftovers.

In Zoho Books: Banking · Uncategorized

  3. Day 3

    The difference hits zero

Reconcile each account against the bank statement. Enter the closing balance, tick what cleared, and chase the difference until it reads $0.00. Fees and small discounts get booked as you match, so they don’t pile up.

In Zoho Books: Banking · Reconcile

  4. Day 4

Your CPA reviews in the same file

Your accountant logs in with an accountant role, runs the reports, and posts adjusting journals. No exported spreadsheets going back and forth. If a number moved, the audit trail shows who changed it and when.

In Zoho Books: Accountant · Manual journals

  5. Day 5

    Reports out, period locked

P&L, balance sheet and the sales tax liability report go to the owner. Then we lock the month, so nobody can quietly edit a closed period. Next month starts on clean numbers.

In Zoho Books: Reports · Accountant · Transaction locking

Match the bank feed the way Zoho Books does

Bank reconciliation in Zoho Books is mostly matching: each bank line pairs with an invoice, bill or payment already in your books. Pick a bank line, then pick the record it belongs to. Stuck? Press “Suggest match” and see what Zoho Books would propose.

04Why Elite Tech Global for Zoho Books

Why finance teams trust us with their Zoho Books ledger

Moving accounting is riskier than moving a contact list, because one wrong opening balance follows you into every report. These four things keep that from happening on a Zoho Books project.

  • ZohoZoho Advanced Partner
  1. Certified by Zoho

We are a Zoho Advanced Partner, so Zoho Books sits in the same hands as the CRM that creates your invoices and the inventory that drives your cost of goods.

  2. Ledger and integrations, all in-house

The people mapping your chart of accounts and the people wiring bank feeds and payment gateways work on one 40+ person team.

  3. Setup fee fixed on paper

Chart of accounts, opening balances, sales tax and integrations are each listed in a signed BRD at a fixed price before a single journal is posted.

  4. Help through the first close

After 300+ projects since 2025, we know the first month-end is where questions pile up, so we stay to train your bookkeeper and support that close.

05Zoho Books pricing in the US

Zoho Books pricing is per company, with the users included

Zoho Books is priced per organization, and every plan includes a set number of users. Paid plans run from $15 a month (Standard, billed yearly, 3 users) to $240 (Ultimate, 15 users). There’s a free plan for one user and an accountant if your revenue is under $50K a year. Need more people? Extra users are $2.50 each per month on a yearly plan, or $3 monthly. Tell us your team size, revenue and what you invoice, and we’ll suggest a plan.

1. How many people need to log in?
2. What do you need most?
3. How would you pay?

We’d suggest

06Zoho Books vs QuickBooks and the rest

Zoho Books vs QuickBooks Online: same five people, $1,200 a year apart

Here’s what Zoho Books, QuickBooks Online, Xero and FreshBooks charge a US business per month. The middle column is the plan a growing team usually needs: projects, multi-currency and purchase approvals. Watch the users column. That’s where the totals pull apart.

  • Xero$1,164
  • FreshBooks$1,368
  • QuickBooks Online$1,680

Same five people, same year: Zoho Books costs $1,200 less than QuickBooks Online Plus. Paid monthly instead, Zoho Books is $600, still the lowest.

On QuickBooks Desktop? Intuit no longer sells new Desktop Pro and Premier subscriptions in the US, so many Desktop users are being nudged online anyway. If you have to move, it’s worth comparing where you land, and we can bring your company file into Zoho Books.

Why we recommend Zoho Books to most US small businesses

  1. Users come with the plan. Professional covers five people for $40 a month. QuickBooks Online charges $140 for the same five on Plus.
  2. Adding a bookkeeper or a project manager costs $2.50 a month on a yearly plan. You won’t be forced up a tier just to add one login.
  3. US compliance starts at $15. Sales and use tax tracking, bank feeds and 1099 e-filing are all on Standard.
  4. Projects, time billing, retainers and a client portal are part of Professional, so service firms don’t need a second app for billable hours.
  5. It’s one ledger for the whole of Zoho. Sales from Zoho CRM, stock from Zoho Inventory, expense reports from Zoho Expense and pay runs from Zoho Payroll all post to Zoho Books.
  6. Approval rules, custom fields, custom modules and Deluge scripts let us fit the software to your process instead of the reverse.

Where another tool can make sense: if your outside CPA firm works only in QuickBooks and you just need a ledger they can open, staying on QuickBooks Online is the simpler path. A freelancer sending a handful of invoices may find FreshBooks Lite enough. And if dozens of people need occasional read access, Xero’s unlimited users can work out cheaper. If your books fit one of those cases better, you’ll hear it from us before any setup is scoped.

List prices in USD per month. Zoho Books is per organization, billed yearly. QuickBooks Online, Xero and FreshBooks are shown at their standard monthly prices, before promotions. QuickBooks Online and Xero reprice their plans often, so we re-check their rates for your user count before you move.

11How a Zoho Books project starts

Nothing gets configured until your Zoho Books plan is on paper

These four steps pin down what you’re getting and what it costs, in writing, before any setup begins. A simple switch from spreadsheets is often scoped on the first call. Bigger jobs, like moving years of QuickBooks Desktop history across several entities, may need a paid scoping and BRD phase, and we’ll quote that up front. Add a requirement after sign-off, say a second entity or another payment gateway, and it gets its own change price, which you approve before we build it.

Zoho Books projects run online for finance teams across the US, Canada and Latin America, and we can sit with your bookkeeper in person in Southern California.

12Questions we get asked a lot

What people ask before they move to Zoho Books

Plain answers on Zoho Books pricing, QuickBooks migration, sales tax and setup. Don’t see yours? Ask on a discovery call. The first one is free.

What is Zoho Books?

Zoho Books is Zoho’s online accounting software. It handles quotes, invoices, bills, expenses, bank feeds and reconciliation, US sales tax, 1099 tracking and e-filing, projects and time billing, a client portal, multi-currency and financial reports, and it connects to Zoho CRM, Inventory, Expense and Payroll.

How much does Zoho Books cost in the USA?

Zoho Books is priced per organization, with users included. Billed yearly in USD, Standard is $15 a month (3 users), Professional $40 (5 users), Premium $60 (10 users), Elite $120 (10 users) and Ultimate $240 (15 users). Monthly billing is $20, $50, $70, $150 and $275. There is a free plan for one user plus an accountant when revenue is under $50K a year, and extra users cost $2.50 a month billed yearly. Our setup and migration work is a separate fixed price, written into a signed BRD before we touch your ledger.

Zoho Books vs QuickBooks Online: which is better for a US business?

For most small and mid-size US businesses, Zoho Books costs much less for the same team. Zoho Books Professional includes 5 users for $40 a month billed yearly, while QuickBooks Online Plus is $140 a month for 5 users. Both cover bank feeds, sales tax, 1099s and projects. QuickBooks can still make sense if your outside CPA firm works only in QuickBooks, and we will tell you that honestly on your discovery call. Our Zoho Books vs QuickBooks comparison sets the plans, user limits and yearly totals side by side.

Can you migrate us from QuickBooks or Xero to Zoho Books?

Yes. We run Zoho Books migration from QuickBooks Online, QuickBooks Desktop, Xero, FreshBooks and spreadsheets. We map the chart of accounts, customers, vendors, items and sales tax, move open invoices and bills plus the history you want to keep, run a test you review, and cut over at a month or quarter end so the trial balance ties out.

How long does Zoho Books setup take?

It depends on how many entities you have, how much history moves across, and which integrations and approvals you need. The signed BRD dates every entity, history import, integration and the month-end cutover, so you know your go-live timeline up front.

Does Zoho Books calculate US sales tax automatically?

Yes, on paid plans. Sales Tax Automation in Zoho Books works out the rate for each transaction from the customer’s address and the states where you’re registered, at no extra cost. If you already use Avalara AvaTax, or need extras like filing and nexus monitoring, we can connect your Avalara account instead.

Can Zoho Books track and e-file 1099s?

Yes. You mark each contractor as a 1099 vendor and add their TIN, and Zoho Books totals what you paid them during the year. From the Standard plan you can e-file 1099-NEC and 1099-MISC forms, and the filing summary shows whether a state needs its own filing.

How does bank matching work in Zoho Books?

Bank feeds bring in your transactions daily for most US banks. Zoho Books compares each line with open invoices, bills and payments by date and amount and shows a Match found tag when one fits. Bank rules categorize repeating lines like rent or software, and you can upload a statement file for a bank without a feed.

Can customers pay a Zoho Books invoice online?

Yes. Connect Stripe for card and US ACH payments, or PayPal, which also lets US customers pay with Venmo. Customers click Pay now in the invoice email or their customer portal, and the payment is recorded against the invoice. Zoho adds no fee for these connections. The payment provider charges its usual rates.

Can we lock a closed month in Zoho Books?

Yes. From the Standard plan you can lock transactions before a date, for everything at once or module by module, with a reason recorded. Admins can also open the audit trail to see who changed a transaction and when.

What does Zoho Books integrate with?

The Zoho Books integrations we set up most are US bank feeds, Stripe, PayPal, Shopify, Avalara and the Zoho apps: Zoho CRM, Zoho Inventory, Zoho Expense, Zoho Payroll and Zoho Analytics. For anything else we use Zoho Flow or custom APIs.

Is Zoho Books good for a small business?

Yes. Zoho Books for small business starts with a free plan for companies under $50K in revenue, and Standard costs $15 a month billed yearly with 3 users, bank feeds, sales tax and 1099 e-filing. You can move up to Professional when you need projects, time billing or approvals.

Can our accountant or CPA work in Zoho Books?

Yes. You can invite your accountant as a user with the access they need, and they can run reports, review reconciliations and post adjusting journals. We can also train your outside CPA on how your Zoho Books is set up.

Do you provide Zoho Books support and training after go-live?

Yes. After go-live our Zoho Books consultants provide ongoing support, help with month-end questions, new automations and Zoho Books training for new staff, online or on-site in Southern California.

Does Zoho Books have a customer portal?

Yes. Customers can open their invoices in the customer portal and click Pay now to settle them through Stripe or PayPal, and the payment is recorded against the invoice.

What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.
