01Why Zoho Projects

Why US project teams choose Zoho Projects over Asana and monday.com

Zoho Projects gives you a real schedule on top of the task list: Gantt charts with all four dependency types, a critical path, baselines, timesheets with approvals, and budgets that track earned value. It costs $4 per user a month on Premium, billed yearly, and it’s free for up to 5 users. These are the six reasons we put in front of US agencies, contractors and service firms.

A schedule that knows what’s critical

Link tasks with finish-to-start, start-to-start, finish-to-finish or start-to-finish dependencies. On Enterprise, Zoho Projects marks the critical path and saves baselines, so you can see which slip moves the end date and how far you’ve drifted from the plan.

Critical path & baselines: Enterprise, $9 a user

Hours become invoices

People log time with a timer or by hand, managers approve timesheets (multi-level approvals on Premium), and the Zoho Books integration invoices the approved hours. Fixed-fee job? Invoice by milestone instead.

Approvals that can’t be skipped

Task Blueprint turns a status change into a process: who can move a task, which fields must be filled first, and who gets told. Design review, change orders and QA sign-offs happen in order, every time.

Budget against progress

Premium includes project budgets with earned value, so you see cost and schedule performance before the job runs over. The portfolio dashboard on Enterprise rolls budget health up across every project.

Zia reads the thread for you

Zia, Zoho’s AI (now also called SI, super intelligence), summarizes long task comments, drafts tasks and subtasks, translates and surfaces insights, starting on Premium. It can also connect outside AI / SI models through MCP.

Priced for the whole crew

Premium is $4 per user a month billed yearly, Enterprise $9. Teams of up to 5 can start on the free plan. You can license the field crew and the back office without arguing over seats.

Asana Starter: $10.99 a user

Zoho Projects also plays well with the rest of Zoho. Won deals in Zoho CRM can start a project, hours bill through Zoho Books, files live in Zoho WorkDrive, and all of it comes in the Zoho One bundle.

02Kickoff to sign-off

Six phases, one client project, all inside Zoho Projects

Here’s a fixed-fee website rebuild for a client, the way we set it up in Zoho Projects for US agencies and service firms. Each phase (Zoho’s new name for a milestone) is a checkpoint with owners, approvals and hours behind it. Scroll along the ribbon and watch the project move from kickoff to the final invoice.

  1. Week 1 · Kickoff

The project starts from a template

Milestones, task lists, owners and due dates come from the agency’s template. The client joins as a client user and sees only what they should.

In Zoho Projects: Templates · Client users

  2. Week 2 · Discovery signed off

    Forty comments, one summary

The discovery thread runs long. Zia summarizes it into decisions and open questions, and the client approves the scope right on the milestone.

In Zoho Projects: Zia · Comments

  3. Week 4 · Design approved

    Blueprint keeps reviews in order

Every design task moves Draft → Internal review → Client review → Approved. The task can’t jump ahead until the reviewer fills in the approval note.

    In Zoho Projects: Task Blueprint

  4. Week 7 · Build complete

The workload report spots a pile-up

A front-end developer is booked at 130% for two weeks. The PM moves three tasks to a teammate with room, and budget vs. actual hours stays green.

In Zoho Projects: Workload · Budget

  5. Week 8 · Testing closed

Bugs live next to the tasks

The client logs issues during testing. Each one gets an owner, a severity and a due date in the built-in issue tracker, and closes with a note on what changed.

    In Zoho Projects: Issues

  6. Week 9 · Launch & sign-off

The last milestone sends the invoice

The client signs off, and the final milestone invoice goes out through Zoho Books. The baseline report shows the plan against what really happened, for the next quote.

What happens in Zoho Projects when one task slips?

In Zoho Projects, dependent tasks move with their predecessors, so one late task can push the whole job. Pick a task in this office build-out, then delay it or speed it up. Tasks on the critical path move the handover date. Tasks with slack don’t, until the slack runs out.

05Zoho Projects pricing in the US

Which Zoho Projects plan fits your team?

Zoho Projects is priced per user. Billed yearly, Premium is $4 per user a month, Enterprise $9 and Ultimate $14. Billed monthly, they’re $5, $10 and $15. Teams of up to 5 can start on the free plan, with a limit on projects. Tell us your team size, how you schedule work and how you’d pay, and the advisor matches a plan with Zoho’s US price.

    1. How many people need a login?
    2. What do you need most?
    3. How would you pay?

    We’d suggest

07Zoho Projects vs the usual suspects

Zoho Projects vs Asana, monday.com, Smartsheet and Microsoft Planner

For a team that needs a real Gantt schedule with dependencies, Zoho Projects is usually the cheapest of the five by a wide margin. Here’s what each charges a US team per user per month, billed yearly. The middle column is the plan most project-driven teams end up on once they need schedules, time and workload.

    • Zoho Projects$1,620
    • Asana$1,978
    • monday.com$2,160
    • Smartsheet$3,420
    • Microsoft Planner$5,400

Fifteen people with critical path and baselines on Zoho Projects cost $3,780 a year less than Microsoft Planner and Project Plan 3. On Premium, at $4, the same team pays $720 a year.

Why we recommend Zoho Projects to most US project teams

    1. Scheduling is the core. Four dependency types, critical path and baselines are part of the product, not a separate desktop app.
    2. Timesheets with approvals come with Premium, so you don’t pay for a second time-tracking tool.
    3. Billing is one click away. Approved hours and finished phases invoice through Zoho Books, with expenses alongside.
    4. Blueprints make approvals a rule, which matters for change orders, design sign-offs and QA.
    5. Field crews are cheap to add. At $4 a user you can put everyone on the job in the app, including the mobile apps on iOS and Android.
    6. It shares data with Zoho CRM, Zoho People and Zoho Analytics without a connector bill.

Where another tool can make sense: if your whole company lives in Microsoft 365 and your schedulers already know Project desktop, Planner and Project Plan 3 keeps them in familiar ground. A marketing team that wants pretty boards and little scheduling may like monday.com. And a finance-heavy PMO that runs everything in grids might stay on Smartsheet. Show us how your PMs plan today and we’ll say on the first call which tool suits them.

Per-user list prices in USD a month, billed yearly, before tax and promotions. Asana, monday.com and Smartsheet can change their seat prices and minimums, so we re-check them for your team before you switch.

    Straight answers about Zoho Projects

Plain answers on Zoho Projects pricing, Asana and monday.com migration, Gantt charts and setup. Don’t see your question? Ask it on a discovery call. The first one is free.

    What is Zoho Projects?

Zoho Projects is Zoho’s online project management software. It covers task lists, phases (formerly milestones), Gantt charts with dependencies, critical path and baselines, Kanban boards, timesheets, budgets, an issue tracker, Task Blueprint approvals, portfolio dashboards and mobile apps, and it connects to Zoho CRM, Zoho Books and the rest of Zoho.

How much does Zoho Projects cost in the USA?

Zoho Projects is priced per user. Billed yearly in USD, Premium is $4 per user a month, Enterprise $9 and Ultimate $14. Billed monthly, they are $5, $10 and $15. There is a free plan for up to 5 users with a limit on projects. Setting up Zoho Projects with us is its own fixed price, written into a signed BRD before we build a single template.

Zoho Projects vs Asana: which is better for a US team?

For teams that need real scheduling, Zoho Projects usually wins on price and depth. Zoho Projects Enterprise includes critical path and baselines for $9 per user a month billed yearly, while Asana Starter is $10.99 and Advanced, with time tracking and workload, is $24.99. Asana can still suit teams that mostly run lightweight task lists and already know it well.

Zoho Projects vs monday.com or Smartsheet?

monday.com Standard is $12 per seat a month with a 3-seat minimum, and Smartsheet Business is $19 per member a month, both billed yearly. Zoho Projects Enterprise is $9 per user and adds critical path, baselines and timesheets with approvals. monday.com is strong on visual boards and Smartsheet on grid-style planning, so we compare them honestly on a call.

Does Zoho Projects have Gantt charts and a critical path?

Yes. Zoho Projects has Gantt charts where you can drag tasks and link them with finish-to-start, start-to-start, finish-to-finish and start-to-finish dependencies. Critical path, baselines and dependencies across projects are part of the Enterprise and Ultimate plans.

Can Zoho Projects bill time through Zoho Books?

Yes. With the Zoho Finance integration, approved time logs in Zoho Projects can be invoiced through Zoho Books or Zoho Invoice, expenses can be recorded against the project, and fixed-fee work can be invoiced by phase or task. We set the billing method per project and the cutoff date for hours already billed.

Can you migrate us from Asana, monday.com, Smartsheet or Microsoft Project?

Yes. Our Zoho Projects migration covers Asana, monday.com, Smartsheet, Microsoft Project, Trello-style boards and spreadsheets. We map projects, task lists, tasks, owners, dates, dependencies, custom fields and files, rebuild automations, run a test you review and switch over between phases so live work keeps moving.

How long does Zoho Projects setup take?

It depends on how many project types and templates you need, how much history moves across and which integrations you want. The signed BRD lists every template, migration and integration, and the delivery schedule gives each a date, so your PMs know when they switch over before we start.

Is Zoho Projects good for a small business?

Yes. Zoho Projects for small business starts free for up to 5 users, and Premium is $4 per user a month billed yearly with unlimited projects, timesheets, budgets and Blueprint. A 10-person team on Premium pays $480 a year in licenses.

Does Zoho Projects work for construction and solar projects?

Yes. Construction, solar and install teams use phase templates with dependencies, Blueprints for permits, inspections and change orders, crew timesheets from the iOS and Android apps, and critical path reports to see which delay moves the finish date. We set these up for contractors across Southern California and the rest of the US.

    Does Zoho Projects include AI?

Yes. Zia, Zoho’s AI / SI assistant, is available from Premium. It can summarize task comments, create tasks and subtasks, translate, transcribe voice notes and surface insights, and Zoho Projects supports MCP for connecting outside AI models.

What does Zoho Projects integrate with?

The Zoho Projects integrations we set up most are Zoho CRM, Zoho Books, Zoho People, Zoho Sprints, Zoho WorkDrive, Zoho Analytics, Zoho Desk and Zoho Cliq, plus Microsoft Teams, Slack and Google Workspace. For anything else we use Zoho Flow, webhooks or the Zoho Projects API.

Do you provide Zoho Projects support and training after go-live?

Yes. Our Zoho Projects consultants stay on after go-live for support, new templates and automations, and Zoho Projects training for new project managers and crews, online or on-site in Southern California.

Does Zoho Projects have a mobile app for field crews?

Yes. Zoho Projects has mobile apps for iOS and Android, so crews can see their tasks and log timesheets from the job site. At $4 a user on Premium, billed yearly, it is cheap to put everyone on the job in the app, and approved hours can then be invoiced through Zoho Books.

    What is SI?

SI stands for super intelligence. In September 2026 a US executive order asked federal agencies to use “super intelligence” or “SI” in place of “artificial intelligence” in official communications. Most businesses still say AI, so we use both terms.

11How a Zoho Projects rollout starts

We plan your Zoho Projects rollout like a project, because it is one

Four steps fix the scope, the schedule and the price in writing before anything gets configured. A small team moving off spreadsheets is often scoped on the first call. Bigger jobs, like moving a PMO with years of Microsoft Project files, may need a paid scoping and BRD phase, and we’ll quote that up front.

Zoho Projects rollouts run online for teams across the US, Canada and Latin America; we come on-site in Southern California when PMs or field crews want hands-on training.
